How to reply to Google reviews

The rules every reply from this tool follows, and the ones worth keeping when you write your own.

Reply to every review

Good and bad. A reply shows the reviewer, and everyone reading after them, that a real person is paying attention.

Keep it short and personal

Use their first name and mention what they actually said. Two to four sentences is plenty for most reviews.

Take problems offline

For a negative review, acknowledge it, apologise for the experience, and give a phone number or email to sort it out.

Never share private details

Do not mention orders, appointments, health, money or anything that confirms someone is your client or patient.

Do not argue or stuff keywords

Arguing in public rarely ends well, and cramming in keywords or city names reads as spam to customers.

No incentives

Google does not allow offering anything in exchange for a review, or asking someone to change or remove one.

Reviews, replies and your local rankings

Reviews and how you respond to them are part of how Google judges your local search presence. They are also what customers read before they call. A calm, helpful reply to a one-star review tells the next customer a lot about how you work.

Frequently asked questions

Should I reply to every Google review?

Yes, as far as you can. Google recommends that businesses respond to reviews, and replies are public, so they show future customers how you treat people. Thank people for positive reviews, and answer negative ones calmly and quickly. A short, genuine reply beats a long, generic one.

How do I respond to a negative Google review?

Thank them for the feedback, acknowledge the specific problem without arguing or making excuses, apologise for their experience, and invite them to continue the conversation by phone or email. Keep it short, and never share details about their account, order or visit in public. Choose the apologetic tone in the tool for these.

Can I get a bad Google review removed?

Only if it breaks Google's review policies, for example spam, fake engagement, off-topic content or conflicts of interest. You can flag a review from your Google Business Profile and Google decides. A review you simply disagree with will usually stay, which is why a calm, professional reply matters.

What should I never put in a review reply?

Private details (orders, appointments, health, legal or financial information), anything confirming the person is your client or patient, arguments or blame, offers in exchange for reviews, and long lists of keywords or links. Healthcare, legal and financial businesses should be especially careful about privacy.

Do review replies help local SEO?

Google lists responding to reviews among the ways to improve your local presence, and an active, well-kept profile gives customers more reasons to choose you. Replies are one part of it. Review count, recency and a complete Google Business Profile all matter too. Our free GBP report shows how your profile measures up.

Is the review reply generator free?

Yes. You can write up to 20 sets of replies a day with no signup. We send the review to an AI model to write the replies and do not keep a copy. If you want the replies and our review response templates by email, you can enter your email address, but it is optional.
